CMMS Import master data

Documentation for CMMS Module Master Data Import Procedure

Introduction: This document outlines the procedure for importing master data for the CMMS (Computerized Maintenance Management System) module of the application. The import process utilizes a Google Spreadsheet template designed to provide an overview of all database tables utilized by the CMMS module, along with descriptions of each table. Additionally, each sheet of the spreadsheet contains individual tables interconnected in such a way that dropdown menus with pre-existing records are available for related entities. This streamlined approach simplifies the import process by ensuring that users can seamlessly reference existing data while populating the spreadsheet, thus facilitating smooth data importation based on relational links.

Import Process Overview: The import process involves the following steps:

  1. Accessing the Google Spreadsheet Template: Users are provided with access to the Google Spreadsheet template containing comprehensive lists of database tables and associated descriptions.

  2. Populating Data in the Spreadsheet: Users proceed to populate the spreadsheet by filling in data for each table. Dropdown menus containing pre-existing records facilitate data entry by enabling users to select relevant entries effortlessly.

  3. Interconnected Data Entry: As users input data for interconnected entities, dropdown menus dynamically populate with existing records from related tables. For instance, when entering equipment data that includes a reference to responsible users, a dropdown menu featuring pre-existing user records simplifies the selection process.

  4. Automatic ID Retrieval: Upon selection of entries from dropdown menus, the corresponding IDs of the selected records are automatically retrieved. This automation ensures that relational links are established accurately, enabling seamless data importation.

  5. Sequential Data Entry: Users progress through the spreadsheet, completing one sheet at a time. Each sheet represents a distinct table or set of related tables, streamlining the data entry process and eliminating the need for users to navigate between multiple sheets.

  6. Consultant Review and Import: Once the spreadsheet is fully populated, users can submit it to the designated consultant responsible for the client. The consultant reviews the data and proceeds to import it into the system, leveraging the relational links established within the spreadsheet for efficient data importation.

Conclusion: The use of the Google Spreadsheet template with interconnected tables and dropdown menus simplifies the process of importing master data for the CMMS module. By enabling users to reference pre-existing records seamlessly and automating ID retrieval, this approach enhances efficiency and accuracy in data importation, ultimately contributing to the effectiveness of the CMMS module within the application.
